Annual General Meeting
ECCAO is very excited to welcome all our members during the upcoming Annual General Meeting (AGM) on Saturday, February 5th at 4pm. While Covid-19 prevented us from getting together in one room, we can still enjoy connecting with you and with one another over the Zoom too.
The AGM Agenda is as follows:
1. Consideration and adoption of minutes of the last Annual General Meeting
2. Reports of President and Directors
3. Consideration and adoption of documents tabled, Financial Statement, and Auditor’s Report
4. Selection of 2022-2023 Advisory Committee
5. Selection of Election Committee Chairman (following year)
6. Selection of Financial Auditor (following year)
7. 2022-2023 Board of Directors Election (7 Directors)
8. 2022-2023 President Election
Below are all what you need in order to ensure you can join the AGM and vote for the election of the new Board of Directors. This year we are very excited that we have 9 strong candidates to choose from who will represent you on the ECCAO Board for 2022-2023. If you have not checked their bios yet, please visit the nominees page on our website and read their bios.
What is needed to attend the AGM and be able to vote online?
You can attend the meeting from any device (phone, tablet or computer). Sign up is not required, but all you need is to click on this Zoom link on Saturday, Feb 5th at 4pm. You can also access the meeting from your browser by going into Zoom website, click on Join a Meeting and enter Meeting ID: 871 5668 9203 and Passcode: 275562
Who can attend?
All members in good standing who paid their membership in 2020 or became a member in 2021 or 2022 are eligible to attend and cast their vote during the meeting. Please note that for family members, each member needs to log in from their own device in order to be allowed to vote during the election process, even if they are attending from the same location. In order for your vote to count, you’ll need a separate access to the meeting, attending the meeting together through one device means one vote only.
How will the voting be conducted?
For Agenda item 7 (BoD Election), the Chair of the Election Committee will call for the members to cast their votes through launching a poll with the list of nominees. Each member will vote for 7 out of the 9 nominees. The poll is confidentially carried and results are available to the Election Committee only. Upon reviewing the results and confirming successful candidates, the Chair of the Board will announce the next Board of Directors.
For Agenda item 8 (President Election), the Chair of the Election Committee will call for nominations, then another poll will be launched to elect the president following the process as explained above.
What if I cannot attend, but I would like to vote?
Poxies can be assigned. However, due to the online setting of the meeting, proxies will be directed to the Chair of the Election Committee and sent maximum by Saturday February 5th at 12:00pm to email@example.com. In the email, please list the 7 Directors you would like to vote for and the one you’re voting for as a President. The President must be from the 7 you are voting for.
What if I don’t know whether I’m a member in a good standing or not, or if I would like to become a member?
No problem, please send an email to firstname.lastname@example.org and we will verify your membership status and advise you in case you need to reinstate your membership. If you are not currently a member but you would like to become a member, please fill out the membership form and send the payment to email@example.com. On the membership form, you can choose the category that best represents your status and you’ll see that fees are 50% off for 2022.
